CASE STUDY BACKGROUND
Medical offices get a lot of new people calling in to schedule their first appointment. These people don't just call one doctor. They usually call multiple. The first doctor's office to call them back gets the appointment and a new patient. There wasn't a good way for doctors to track incoming calls and know how well their staff was responding to the calls. Doctors knew they were losing new patients which boiled down to lost revenues.
Our client created a system to track inbound calls coming into the medical office and how quickly the person was called back. Our client created alarms that notified the medical staff when a call went un-returned for more than 5 minutes. They also setup a text message system that notified the doctor when a patient was not called back after 15 minutes.
Combining these alerts with a full reporting suite provided doctors with full visibility into how their staff was performing.
There was just one problem. Our client needed to be able to connect an inbound call or email with a scheduled appointment to know the staff's close rate.
Our client knew they needed patient and schedule data from their client's EHR systems. The problem was they didn't know how they would get it. EHR systems talk in various languages and formats like HL7, SOAP, SQL, and JSON.
Our client looked around for ways that they could connect their back-end system with the scheduling systems at their clients. The first option was to write their own Health Level Seven (HL7) software. This turned out to be more challenging than it first appeared and was going to cost them tens of thousands of dollars to get the first integration done. And it was going to take a very long time to implement.
They had clients running countless EHR systems using countless ways to exchange data which meant this was going to get expensive - quickly. Their reputation was on the line.
That is when they reached out to MI7 for Q - our software that transforms every Electronic Health Record system into an API.
MI7's Q was private-labeled and set up with the EHR modules that their clients we running. Our client's development team worked with the Q API and made the minor tweaks to their back-end system. Before they knew it, patient and scheduling information was flowing from the EHRs to their back-end servers.
Even better, our client was able to use Q to send appointments and patient information back into the EHRs to simplify life for the medical staff.
Since then, our client has expanded their offerings because of the newly-available patient data. New revenue streams were created and the company has significantly increased their average profit per client.
